This Privacy Policy explains how Driftwood Tech LLC ("Driftwood," "we," "us," or "our") collects, uses, shares, and protects information when you use DriftwoodCRM (the "Service").
1. Who We Are

2. Scope
This policy covers information collected through the Service and related communications (support, marketing, and sales). If you integrate third-party services, their policies apply to their processing.
3. Information We Collect
We collect information in three main ways:
A) Information you provide
- Account info: name, email, password (hashed), company name, role/title (optional)
- Profile & settings: preferences, integrations you configure
- Payment & billing: billing address and transaction metadata; payment card details are processed by our payment processor (we do not store full card numbers)
- Support communications: messages, attachments, and troubleshooting logs you send us
- Customer Data you upload: contacts, notes, tasks, pipeline data, emails you store, and other CRM content you choose to submit
B) Information collected automatically
- Device and usage data: IP address, browser type, device identifiers, pages/screens viewed, timestamps, clicks/actions, referral URLs
- Cookies/local storage: used for login sessions, preferences, and analytics (see Cookies section below)
C) Information from third parties
- Integration data: if you connect a third-party provider (e.g., email/calendar), we receive data you authorize that provider to share with us
- Analytics providers: may provide aggregated insights about usage
4. How We Use Information
We use information to:
- Provide and operate the Service (account creation, authentication, feature functionality)
- Store, display, and organize Customer Data at your direction
- Process payments, prevent fraud, and manage subscriptions
- Provide customer support and respond to requests
- Maintain security, monitor performance, and debug issues
- Improve the Service (including product analytics and feature development)
- Communicate about the Service (transactional emails, updates, security notices)
- Send marketing communications (where permitted; you can opt out)
- Comply with legal obligations and enforce our Terms
5. How We Share Information
We share information only as needed:
- Service providers (processors): hosting, database, monitoring, analytics, customer support tools, email delivery, and payment processing providers who process data on our behalf
- Integrations you enable: when you connect third-party apps, we share/receive data as you direct
- Legal and safety: to comply with law, respond to lawful requests, protect rights, prevent fraud/abuse, and ensure security
- Business transfers: if we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction
We do not sell personal information. We also do not "sell" or "share" personal information as those terms are defined under certain state privacy laws (e.g., California) for cross-context behavioral advertising.
6. Cookies & Tracking
We use cookies and similar technologies for:
- Essential functions: login sessions, security
- Preferences: language, settings
- Analytics: understanding usage to improve the Service
You can control cookies through your browser settings. If we use non-essential cookies (e.g., marketing/advertising), we will provide appropriate choices where required.
7. Data Retention
We retain information for as long as needed to provide the Service and for legitimate business purposes, such as:
- Maintaining your account and providing requested features
- Complying with legal obligations
- Resolving disputes and enforcing agreements
We retain Customer Data while your account is active. After cancellation or termination, we may retain Customer Data for a limited period to allow retrieval, then delete or de-identify it, subject to legal requirements and limited backup retention.
8. Security
We use reasonable administrative, technical, and organizational measures to protect information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
9. Your Choices & Rights
Depending on where you live, you may have rights to:
- Access, correct, or delete certain personal information
- Object to or restrict certain processing (where applicable)
- Opt out of marketing emails (unsubscribe link or contact us)

10. Customer Data & Your Role
When a customer uses the Service to store Customer Data (e.g., their own contacts and leads), Driftwood generally acts as a service provider/processor for that customer. The customer controls what Customer Data is entered and how it is used.
If you are an end contact stored in a customer's DriftwoodCRM account, please contact that customer directly to exercise your rights with respect to that Customer Data.
11. International Users
If you access the Service from outside the United States, your information may be processed in the United States and other jurisdictions where our service providers operate.
12. Children's Privacy
The Service is not directed to children under 13 (or under 16 in certain jurisdictions). We do not knowingly collect personal information from children. If you believe a child provided personal information, contact us to request deletion.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date. If changes are material, we will provide additional notice as required.
